Privacy Policy
Last updated: July 28, 2026
By using our Services, you agree to comply with the terms of this Privacy Policy. Karani reserves the right to revise, amend, or modify this policy and our other policies and agreements at any time and in any manner.
Karani is committed to protecting your privacy.
We will collect information you provide us with whether explicitly (by filling out a form) or implicitly (for example, by sending us an email.)
We may also collect non-identifying information about the Service that resides on your device such as configuration settings, location information, access information and usage information.
We will not resell or abuse your private information or that of your contacts. We will not share any of your information without your explicit consent except as mandated by the government or, if your account is a part of an organizational account/partnership, the consent of your parent organization.
We use Cookies and Sessions to store information in your browser and on our server. To the greatest extent possible these are encrypted, and they cannot be used to retrieve any information about your computer or Internet usage other than your interactions with the Service.
We log IP Addresses in order to protect the Service and its users from malicious attacks, and track overall anonymous usage statistics.
Google User Data
Karani uses Google APIs for two optional features: "Sign in with Google," and the Google Calendar integration. You control whether you use either one. This section describes exactly what Google user data each feature accesses, how we use it, how long we keep it, and how you can have it deleted. If you use neither feature, Karani receives no Google user data about you at all.
1. Sign in with Google
If you choose to sign in with Google, we request only Google's basic sign-in scopes (openid, userinfo.email, and userinfo.profile). Through these scopes we receive:
- The email address associated with your Google Account.
- Your basic Google profile information (your name and your Google Account identifier).
We use this data only to authenticate you and sign you in, to create your Karani user record if you are signing up for the first time, to match you to an existing Karani account with the same email address, and to contact you about your account and the Service.
The only data we store from sign-in is your name and email address, saved on your Karani user record. Google access tokens and refresh tokens issued during sign-in are used only in-memory to complete authentication and are never written to our database.
2. Google Calendar integration
Karani offers an optional Google Calendar integration that keeps your Karani tasks and appointments in sync with your Google Calendar. This integration is off by default. It is only enabled if you explicitly connect your Google Account to Karani from your account's Services settings, and you can disconnect it at any time.
If you connect it, we request the https://www.googleapis.com/auth/calendar.events scope, together with offline access so that the integration can continue syncing in the background without requiring you to sign in repeatedly. This scope lets Karani read and write events on your calendars. We do not request access to your Gmail messages, Google Drive files, Google Contacts, or any other Google Workspace data.
What we access and why. We access calendar events in order to:
- Create, update, complete, and delete events on your Google Calendar that correspond to tasks and appointments you create in Karani.
- Read events you or Karani have created so that changes you make in Google Calendar are reflected back in Karani, keeping the two in sync in both directions.
- Maintain a dedicated Karani calendar in your Google Account, so that synced items stay separate from the rest of your calendar.
- Subscribe to change notifications from Google so that updates sync promptly rather than only on a delay.
We use Google Calendar data solely to provide this synchronization feature to you. We do not use it for any other purpose, and we do not access calendar events that are unrelated to providing the sync.
What we store. For each connected account we store, in encrypted form, the Google access token and refresh token, the granted scope, the token expiry, and your Google Account identifier. To make syncing work we also store the identifier of the Karani calendar in your Google Account, synchronization state used to fetch incremental changes, notification-channel identifiers and their expiry, and your integration preferences. For each synced item we store the corresponding Google Calendar event identifier alongside the Karani task, plus the event content that is mirrored into Karani — the title, description or notes, start and end times, and recurrence pattern. We also keep sync activity logs that record what was synced, whether it succeeded, and any error returned, in order to diagnose sync problems.
Sharing. Google Calendar data is never shared with third parties, sold, or transferred, except as necessary to operate the Service, to comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice to you.
How we handle all Google user data
For both features above, we never sell Google user data, use it for advertising or ad personalization, use it for credit assessment or lending purposes, or use it to develop, improve, or train generalized artificial intelligence or machine learning models. Karani personnel do not read Google user data except with your explicit consent, for security purposes (such as investigating abuse), to comply with applicable law, or where the data has been aggregated and anonymized.
Limited Use disclosure
Karani's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Data Retention and Deletion
How long we keep your data
- While your account is active. We retain your account information — including the name and email address obtained from Google if you signed in with Google — for as long as your Karani account remains open, so that we can operate the Service and keep you signed in.
- After you cancel. When you cancel your account, we deactivate it and move your records into an archived, non-accessible state. Archived records are retained for a limited period so that we can restore your account if you return, resolve billing disputes, and meet legal, tax, and accounting obligations.
- Permanent deletion. Google user data associated with a cancelled account is permanently deleted no later than 90 days after cancellation, or sooner upon your request as described below. Anonymized and aggregated usage statistics that cannot be used to identify you may be retained indefinitely.
- Backups. Residual copies may persist in encrypted backups for up to 30 days after deletion from our live systems, after which they are overwritten in the normal backup rotation.
Google Calendar data specifically
- While connected. Google Calendar data synced into Karani is retained for as long as the integration remains connected and your account remains open, because that data is what the feature displays to you.
- When you disconnect. Disconnecting the integration immediately stops all syncing, cancels the change notifications Karani had registered with Google, and permanently deletes the stored Google access and refresh tokens within 30 days. Karani cannot access your calendar again unless you reconnect it and grant permission again.
- Sync activity logs. Logs of sync activity are automatically deleted 90 days after they are created.
- Events already in your Google Calendar. Events that Karani created on your Google Calendar remain in your Google Account after you disconnect, because they are yours. Delete them in Google Calendar if you no longer want them.
- Copies held in Karani. Disconnecting leaves the tasks and appointments already synced into Karani in place, so you do not lose your Karani records. To erase those as well, delete your account or request deletion as described below.
How to delete your data
You may delete your Karani data at any time using any of the following methods:
- Cancel your account. Log in and go to your Plan page, then choose "Cancel your account" (or visit karani.co/user/cancellation directly). This closes your account and begins the retention and deletion process described above.
- Request immediate, permanent deletion. Email [email protected] from the address on your account with the subject line "Delete My Data." We will permanently erase your Karani account data, including all Google user data, within 30 days of verifying your request, except where we are legally required to retain specific records. We will confirm by email when deletion is complete.
- Disconnect the Google Calendar integration. Log in and go to your account's Services settings, then disconnect Google Calendar. This stops all syncing and deletes the stored Google tokens as described above, while leaving the rest of your Karani account intact.
- Revoke Karani's access to your Google Account. Visit myaccount.google.com/permissions and remove Karani. This immediately stops Karani from receiving any further data from Google. Because revoking access does not by itself delete data already stored by Karani, use one of the methods above if you also want your existing data erased.
